Your 2025 Christmas Payroll Guide for Nannies and Families
==========================================================

 Christmas is almost here again, so it is the perfect time to plan ahead for payroll, leave and public holidays. Here is everything families and nannies need to know for the 2025 Christmas shut down period, including key dates and support over the break.

It is nearly Christmas. After a busy 2025, it feels like the year has flown by and the Christmas break is now right around the corner. To help families and nannies stay organised, we have pulled together all the key information you need for the upcoming closedown period, public holidays and payroll processing.

Please make sure all leave requests are submitted by **5pm on Friday 19 December 2025** so everything is processed on time. If you have any questions, just let us know before this date.

Important Payroll Reminder
--------------------------

The normal payday for the week of Christmas would fall on Friday 26 December 2025. Since this is a public holiday, payroll will instead be paid on **Wednesday 24 December 2025** to ensure all payments clear before Christmas.

All other payroll cycles will continue as normal through the holiday period.

Pay The Nanny Office Hours Over Christmas
-----------------------------------------

Our team will be taking a well deserved break, although payroll services will continue as usual.

From **Monday 22 December 2025 to Monday 5 January 2026**, we will be working on skeleton staff. We will still process payroll and respond to queries, but replies may take a little longer than usual and our phone lines won’t be open. Please send through any questions in advance where possible.

We will return to normal office hours from **Monday 5 January 2026**, although some team members will still be away until the end of that week.

Annual Closedown and Planning Leave
-----------------------------------

Many families choose to have an annual closedown period over the Christmas and New Year break. This usually means a nanny will need to take annual leave during this time.

We encourage families and nannies to plan early and confirm which days will be taken as leave. This avoids last minute changes and helps make sure everything is accurate in the payroll system.

Entering Leave in the System
----------------------------

If you are taking leave over the break, please enter this in the system before **5pm on Friday 19 December 2025**.

A few quick reminders:

- The system will automatically estimate working hours for each leave day. You can adjust these hours if needed.
- If you enter leave, you do not need to also enter normal hours. The leave request is enough.
- The nanny should request the leave and the family should approve it.
- For public holidays that should be paid as public holidays rather than leave, enter zero hours for that day.
- If a nanny has not accrued enough annual leave, we recommend having a discussion about how time away from work will be handled. This might be paid, unpaid, or a mix of both, depending on what you agree.

Australian Public Holidays Over the Break
-----------------------------------------

There are three public holidays in the 2025 Christmas period:

- Thursday 25 December 2025: Christmas Day
- Friday 26 December 2025: Boxing Day
- Thursday 1 January 2026: New Year’s Day

Entering Public Holidays in the System
--------------------------------------

When logging time in the system for a public holiday, select the work type:

- Public Holidays (Not worked)
- Public Holidays (Worked)

If you have fixed hours, these will automatically load as Public Holidays (Not worked). If a nanny is working on a public holiday, they will need to edit their hours to reflect the correct work type.

Casual Employees Over the Break
-------------------------------

If you employ a casual nanny, they should remove their hours on any public holiday they are not working. Casual employees are only paid for hours actually worked, so if they are normally rostered on a particular day but will not be working due to a public holiday, they need to log into the system and delete the hours for that date.

Given casual loading is built in to their hourly rate casuals wouldn’t receive paid public holidays and they also don’t need to enter leave for days away during the Christmas period.
